The Senior Administrative Assistant will provide administrative support to the Marketing & Communications team and the Development team with meeting scheduling and event support.  This position will also support the Operations team by managing the vehicle fleet, submitting the annual state registrations for Development and providing confidential support to the Executive team as requested.


Responsibilities:
 
  • Schedule meetings as requested for supporting departments.
  • Support Senior Executive Assistant and Senior Operations Manager in support of CEO, assisting in managing the calendar, corresponding with meeting attendees, providing agendas and travel plans as requested.
  • Utilize Docusign to obtain signatures needed on necessary documents
  • Complete annual state registrations for development team
  • Assist in managing fleet vehicles
  • Handle special mailings as requested
  • Other projects as assigned by COO and Senior Operations Manager

Requirements:
 
  • Bachelor’s degree or equivalent experience
  • 4+ years’ experience supporting leadership preferably in a non-profit organization
  • Proficient in Microsoft Office (Outlook, Word, Excel, Power Point, SharePoint), Adobe Acrobat, Docusign, Social Media platforms, Asana (or other project management apps)
  • Strong written and verbal communication, financial, administrative, and organizational skills
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Must be able to work under pressure at times to handle a wide variety of activities
  • Adaptable to various competing demands and flexible with changing job responsibilities
  • Ability to exercise good judgment in a variety of situations
  • Ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Proven ability to handle confidential information with discretion
  • Must enjoy working within an entrepreneurial environment that is mission-driven, results-driven, and community oriented
